Tournament Management Guide

Note: You must be logged in to create and manage tournaments.

Creating Tournaments

To create a new tournament, follow these steps:

  1. Make sure you are logged in to your account.
  2. Click on Quick Setup in the navigation menu.
  3. Fill out the tournament details form (Step 1):
    • Tournament Name (required)
    • Description (optional)
    • Location (required)
    • Start and End Dates (required)
    • Format (e.g., Swiss, Round Robin)
    • Number of Rounds (required)
    • Time Control (optional)
    • Maximum Participants (required)
  4. Click Next to proceed to Step 2.
Creating a Tournament

Adding Players

There are several ways to add players to your tournament:

Method 1: Add Players During Tournament Setup

  1. In Step 2 of the tournament setup, you can add players manually or import them.
  2. To add players manually, enter their details in the form and click Add Player.
  3. To import players from a file, click Import Players and select your Excel or CSV file.
  4. To import players from Chess.com, click Import from Chess.com and follow the instructions.
  5. Click Next to proceed to Step 3.

Method 2: Add Players After Tournament Creation

  1. Go to the tournament details page by clicking on the tournament in the Tournaments list.
  2. Click on the Participants tab.
  3. Click Add Players button.
  4. Enter player details or import players as described above.

Method 3: Player Self-Registration

Players can register themselves for tournaments with open registration:

  1. Players must create an account and log in.
  2. They can browse tournaments and click Register on tournaments with open registration.

Starting a Tournament

Once you've added players to your tournament, you can start it:

  1. Go to the tournament details page.
  2. Click the Start Tournament button.
  3. Confirm that you want to start the tournament.
  4. The system will automatically generate pairings for the first round.
Note: Once a tournament is started, you cannot add more players.

Generating Pairings

The system uses the Swiss pairing system to generate fair pairings based on players' scores:

  1. For the first round, players are paired based on their ratings.
  2. For subsequent rounds, players are paired based on their current scores and previous opponents.

The system automatically handles:

  • Avoiding repeat pairings (players shouldn't play each other twice)
  • Balancing colors (players should alternate between white and black)
  • Pairing players with similar scores

Entering Match Results

As a tournament organizer, you need to enter the results of each match:

  1. Go to the tournament details page.
  2. Click on the Matches tab.
  3. Find the match you want to update.
  4. Click one of the result buttons:
    • 1-0 - White player won
    • ½-½ - Draw
    • 0-1 - Black player won
  5. The system will automatically update player scores and standings.
Entering Match Results

Moving to Next Rounds

After all matches in a round are completed, you can generate pairings for the next round:

  1. Go to the tournament details page.
  2. Click on the Matches tab.
  3. Make sure all matches in the current round have results entered.
  4. Click the Generate Next Round Pairings button at the top of the matches tab.
  5. Confirm that you want to generate pairings for the next round.
  6. The system will create new matches for the next round.
Important: You must enter results for ALL matches in the current round before generating pairings for the next round.

Completing a Tournament

A tournament is automatically completed when all rounds have been played:

  1. Enter results for all matches in the final round.
  2. The system will automatically mark the tournament as completed.
  3. Final standings will be calculated based on players' scores and tiebreaks.

You can view the final standings in the Standings tab of the tournament details page.
